How can I use the Session Attendance Kiosk in the mobile app?
The Session Attendance Kiosk allows attendees to check in and out of individual sessions by scanning their badges. This helps organizers accurately track attendance and time spent in each session.
For a visual guide on how this works, you can watch the video here.
Before Attendees Arrive:
Attendees need their QR codes to check in.
Administrators can send QR codes ahead of time via the web portal:
Navigate to Attendees → Manage Attendees, click Send Self Check-In Instructions at the top of the page, and confirm by selecting Yes on the confirmation screen.
This action emails attendees instructions on checking themselves in, and includes their QR code.
Setup:
Place the kiosk outside each session room, either mounted on a wall or on a floor stand for easy access.
Make sure the correct room is selected in the app so sessions are retrieved properly, and that you've synced the latest data from the web server.
Tip: The kiosk will automatically retrieve which sessions are happening at the current time. You can adjust the early or late sign-in window (default is 15 minutes) from the Attendance Settings in the web portal.
Security: Administrator authorization is required to navigate out of the kiosk. We also recommend using the Guided Access feature on iOS to limit the device to a single app: Apple Guided Access Support
Using the Session Attendance Kiosk:
On the left-hand menu, under Session Kiosks, select Session Attendance
You will see:
Your conference logo
Current session names with start/end times
Instructions for attendees
A blue “Tap to Scan Badge” button
Tracking Attendance:
Tap the blue “Tap to Scan Badge” button to begin scanning.
The camera will open and be ready to scan attendee badges.
Once scanned, attendees will see a “Signed In” or "Signed Out" message, and the camera will remain on standby for the next attendee.
How Session Tracking Works
The kiosk automatically tracks sign-in and sign-out times.
The first scan is counted as a sign-in, and the second scan is counted as a sign-out.
If both are recorded, the total time spent in the session will be calculated. Attendance will still be logged if only one sign-in is recorded.
If multiple sessions are happening at the same time (for example, one ending and another starting), attendees will be prompted to select which session they want to sign in or out of.
If no session is currently in progress, the kiosk will display a message indicating whether there’s an upcoming session or that all sessions for the day are finished.
