Accudemia: How do I set a Center's operating hours?
Introduction
Center hours of availability can be customized in Accudemia. Time slots set as "available" will allow students to do walk-ins and schedule appointments, as well as allow tutors to set their schedules within these time slots. Periods of time can also be marked off as "unavailable" which stops students and tutors from scheduling in them. This article will explain how to set a Center's hours of availability.
Step-by-Step
1. Navigate to Administration > Offtimes.
2. Select the Center to add hours to under "Center" in the search bar to the left of the screen.
3. Choose a mode to view the center hours under "Edit Mode" from the following:
- Semester Mode: This is the default calendar edit mode. In this mode, off-times for the
entire semester can be entered. This allows a center to determine its
general operating hours for the entire semester.
- Exceptions Only: The off-times can be edited in this mode by setting exceptions to the “operating hours” on specific
dates the Center, Classroom, or College will not be available.
- Merged Mode: This is a combination of Semester Mode and
Exceptions Only. In this mode, a specific week will need to be chosen to edit. Additionally, there is the
option to display appointments. In Merged Mode past weeks/dates cannot be edited.
4. Change the period if needed., then click Apply Filters.
- In Merged mode or Exceptions only, the period will be weeks.
- In Term mode, the period will be every term in the college.
5. Click and drag over the times that the center should be made available, unavailable, or cleared.
Tutors
will only be able to set schedules during "available" times set for the
Center. In addition, Centers can only have walk-ins and appointments
during "available" times.
TIP: If there are times of the day or night that the Center should be open, but the choice isn't available, navigate to Administration > Control Panel > General > (Select the College-level) > Calendars. From there, the "Start Time" and "End Time" can be set for the entire college.
