Accudemia allows administrators to set offtimes which are time slots where centers and services are considered closed. Students can't schedule appointments on these offtimes, nor can admins set staff to be available for appointments or walk-ins. These offtimes are set by scopes which makes them customizable. If the entire college is selected as a scope, then offtimes will affect all Centers, but individual Centers can be selected to close at specific times as well. This article will explain how to set offtimes for entire semesters, as well as specific dates.
Step-by-Step
1. Navigate to Administration > Offtimes on the home page.
2. Use the Search menu on the left to choose the college or center to adjust.
Remember that offtimes set to the college-level affects all centers.
3. Choose one of three modes from the "EDIT MODE" dropdown menu.
- Term Mode: Shows the entire semester. Use this to set offtimes that will remain the same throughout the semester, like weekends or overnights.
- Exceptions Only: Shows a specific week within the semester. Use this to add offtimes for specific dates and/or times within the semester, like holidays.
- Merged Mode: This will only view specific weeks, but it includes the availability set for the entire semester in Term Mode, as well as specific times off like holidays done in Exceptions Only.
4. Choose the period to show.
- In Exceptions only or Merged mode, choose a specific week.
- In semester mode, choose a semester.
5. Click the Apply Filters button at the top of the search options when ready.
6. Click and drag over the time slots to select them.
NOTE: If there are times of the day or night that aren't available (like 1 AM for example), that is because those times have not been included in the college's operating times. To change this, go to the home page and navigate to Administration > Control Panel > General > (Select the College-level) > Calendars. From there, the "Start time" and "End time" can be set for the college.
7. Click the "Scheduled as" dropdown, choose the "Offtime" option, then click the Save button.
