Conference Tracker: How do I manage and print Badges for my conference?

Introduction

Conference Tracker gives administrators the ability to manage, print, and email Badges for a conference. Badges act as an identifier and play a big role in keeping track of user attendance. This article will explain how to manage and print Badges.

Badge Management

Navigate to Badges > Design Badges.



Choosing Badge roles

Click the Set Defaults button.


This is where Badges can be given a specific role. For example, if there are two Badges, one could be used for normal attendees and the other for VIPs. This is useful if the conference will have areas that are locked off, as each Badge can be given a different QR code that will allow them into greater or fewer locations.


Badge options

Clicking the three dots beside each Badge will open up several options.


Copy - Create a duplicate of the existing Badge. This is an easy way to reuse Badge designs without needing to recreate them every time.

Print - Converts Badges into a PDF file for printing. Badges can be printed per group, per session, per date, and more.
1 - Select the Badge from the list.
2 - Print all Badges.
3 - Print specific Badges.
4 - Additional specifications for printed Badges.


Email Badges - Generates separate Badge files that can be easily emailed to Attendees. The options are similar to the print image above.

Print QR Labels - Print the QR codes specifically. This is typically used for pre-made Badges.

 

Correct Badge formatting for printing

Badges are formatted using Adobe PDF. It's recommended to download the Adobe PDF Reader to open the Badge file.

ALERT: The default print size in Adobe Acrobat Reader DC will not format the Badges correctly. These settings will have to be changed in Adobe Acrobat Reader DC.

1. From the Adobe Acrobat Reader DC menu, navigate to File > Print.
2. In the Print dialogue box below the Page Sizing and Handling, by default, the selected setting is “Shrink oversized pages”. This is the wrong setting for printing Conference Tracker badges.
3. Change this to “Actual Size.” Badges will now be printed with the correct formatting.
