Accudemia - Best Practices for Successful Outlook 365 Integration

Accudemia - Best Practices for Successful Outlook 365 Integration

Introduction

The following in this article lists the restrictions and best practices that need to be followed to ensure the best implementation of the Outlook365 integration with Accudemia.

Best Practices

  1. You must use Accudemia to schedule the student appointments and NOT Outlook.  This is because the student appointment requires data that is not usually part of an Outlook appointment, and also because student appointments could be subject to certain restrictions that Outlook would not know about nor enforce.

  2. You may block off time from availability to student appointments with either system (Accudemia or Outlook).

  3. You can cancel existing appointments using either your Office 365 calendar or Accudemia.

  4. You can reschedule an existing appointment, that was scheduled with Accudemia, in either Office 365 calendar or Accudemia.  If the appointment breaks a rule, it will be automatically restored to its original time.

  5. You should only sync your Outlook work calendar with Accudemia.  You can have other personal/private calendars in Outlook if you like (e.g. after-work events, birthdays, etc.) but make sure you do not include these in sync with Accudemia.

  6. Before blocking off time as “unavailable” in your work calendar, check to make sure you do not already have existing appointments during this new off time.  If you have existing appointments, reschedule them before blocking the time off.

Conclusion

You may find other best practices to add to this list while working with your tutors but these items should help ensure early adoption and success.
