Accudemia: How do I set a time limit on virtual sign-in links to stop student walk-ins in the evenings and weekends?

Introduction

Accudemia gives administrators the ability to set a time expiration for walk-in links. These are set upon the virtual sign-in link's creation and can be customized to end in hours, days, weeks, or months. This stops students from gaining access to walk-ins at certain times of the day, or specific days of the week, like weekends. This article will explain how to set a link expiration on a new virtual sign-in link so that it will eventually be inactive, or how you can set the schedule for when staff should be available.

Step-By-Step

1. Navigate to Centers > Virtual Sign-In > Manage Links from the main menu.

2. Click the + New Virtual Sign In Link button.

3. Select a Classroom or a Center.

4. Scroll down to #3, "Joining the Virtual Session," then beside "Link Expiration," choose when the link will expire.

NotesNOTE: If walk-ins are only allowed from 8:00 AM to 1:00 PM, select "Hours" from the time drop-down menu, then choose "5" for the Link Expiration drop-down. Alternatively, if walk-ins are allowed any time from Monday to Friday, then select "Days" from the time drop-down menu, then select "5" for the Link Expiration drop-down.

Step-By-Step

  1. Navigate to Centers > Virtual Sign-In > Drop-in Times from the main menu.

  2. Click the + New Drop-in Time button:

  3. Make sure that you have the correct Center set, set the days of the week, and the times your center tutors are available:

InfoNote: If some days have different available times than the terms of time, repeat this step, doing only those that have the same hours for those days of the week at a time.

  4. Finally, click the save changes button in the top-right of the screen to complete this process. You'll notice a list appears showing the available times now.

    Info
Note: Exceptions can be made for days the center is closed, etc. When you return to the list, there's an Exceptions button to click and start that process. Simply follow the on-screen instructions to complete that process.
